Unless otherwise noted, the processing rules for transferring assets between organizations are the same when using either the Asset transfer form (OXTRAS) or the By asset part transfer form (SXTRAS).
Refer to the following processing rules when transferring assets between organizations:
Datastream 7i maintains a record of the equipment in the originating organization of the transfer and also creates a new record for the equipment in the organization to which it is moved.
If a stock record does not already exist, Datastream 7i creates a stock record for the part/part tracked by asset in the receiving store that defaults to the price type of the receiving store. By default, the price type for a store is defined by the PRICETYP installation parameter; however, you can modify the price type for each store as necessary.
Datastream 7i creates an issue transaction for the part/by asset part prior to processing the transfer and then creates a receipt transaction for the part/by asset part after completing the transfer.
Datastream 7i processes the transaction pricing for the transfer in the same manner in which it handles the pricing of a store-to-store transfer. However, if you are using LIFO/FIFO as your pricing method, the transaction price is the next available price for the part/by asset part. If the Status of the asset is To be repaired, then the transaction price is equal to the core value of the part tracked by asset.
You can only transfer equipment that is assigned a State of Good. You cannot transfer equipment that is Out of service, nor can you transfer equipment that is associated with a change notice. There can be no work orders with a Status of Work request or Released associated with the equipment to transfer, nor can you have work orders for which there are open purchase orders or purchase requisitions associated with the equipment to transfer.
The equipment to transfer cannot be a child record within an equipment hierarchy. However, the equipment to transfer can be a parent with child records in an equipment hierarchy. If the equipment to transfer has child records, the child equipment is also transferred to the new organization and retains its equipment hierarchy in the organization to which it is transferred.
Datastream 7i automatically assigns a Status of Withdrawn to the equipment record in the originating organization of the transfer.
Datastream 7i assigns the original Status of the asset in the transferring organization as the New status for the asset in the asset in the organization to which the asset is transferred.
Datastream 7i completes any work orders associated with the transferred equipment that have a Status of Awaiting execution or Bypassed.
Datastream 7i creates an event record of the transfer for the equipment in both the originating organization and the organization to which the equipment is transferred. The event record of the transfer can be viewed on both the Event tab of the Equipment form (OMOBJC) or on the History of equipment form (OOHIST). The event record also indicates the organization in which the equipment originated and the organization to which it was transferred.
Datastream 7i does not complete either the transfer of a part or the asset by which it is tracked unless the transfer of both the part and the asset is successful.
If you are using the Calibration Management module and you transfer an asset for which calibration data and work history exists, Datastream 7i transfers all calibration data and work order history to the asset in the organization to which it is transferred.
