As you are processing a claim, assign a status to the claim to indicate its progress through the claim process. The claim status determines the information you can manually enter or update for the claim, as well as what information is updated by the system.
Create additional statuses and status changes for the claim as necessary on the Status change authorization form (BNAUTH). The claim statuses shown belong to the CLAI system entity and the CLST status entity.
Refer to the following list for an explanation of the different warranty claim statuses.
Unfinished (U)—Datastream 7i automatically sets the Status to Unfinished. Unfinished status indicates that the claim is still in progress, and Datastream 7i automatically updates the Claim Details with cost information as it accrues for the work order. Update Other costs as necessary.
Approved (A)—Select to indicate that the claim is ready to be sent to the supplier/manufacturer for a response. Datastream 7i automatically populates Date approved with the date on which you select Approved status. When you select Approved status, Datastream 7i freezes all of the claim costs and no longer captures any additional costs that may accrue for the work order. You can no longer update Other costs for the claim or any information except for the Status and claim description.
Response received (RR)—Select to indicate that the claim has been filed with the supplier/manufacturer and that you have received a response from them regarding the claim. Datastream 7i calculates the anticipated closing values of the claim based on the percentages specified for the warranty on the Documents form (BMDOCU). Datastream 7i then populates the Closing Details with the Claim Details values enabling you to update any of the values to reflect the actual amount paid for each category should it differ from the calculated Claim Details value. You can also enter a Date resolved and update the Status and claim description as necessary.
Completed (C)—Select to indicate that you are satisfied with the claim and are ready to close it based on the present reimbursement/closing totals. When you select Completed status, Datastream 7i freezes all the values for both the Claim and Closing details, and you cannot edit any information on the claim except for Status.
Cancelled (J)—Select to indicate that the claim is cancelled. You cannot edit any information on the claim except for Status.
