> Creating Quick Work Orders

Quick work orders apply to smaller, less regulated sites within your organization. These are sites where maintenance is generally reactive (e.g., equipment breakdown), and they use their own maintenance department to record all work information including costs, activities, materials, and booked hours.

   You can only insert/update/delete work orders if you are authorized to do so. Refer to the Work order type authorization form (WNJBTA).

If you are using qualification enforcement, you can only schedule an employee to perform the selected work order activity if the qualifications defined for the employee on the Qualification page of the Personnel form (WNPERS) match all of the qualifications associated with the selected work order activity. Qualification enforcement is determined by the WOQUAL installation parameter.

   If you are not using qualification enforcement, you can associate qualifications with work order activities, but Datastream 7i will not validate any associated qualifications when you schedule an employee for work.

Additionally, the qualifications for the employee must be active. An employee’s qualification is active only if Qualified is selected for the qualification on the personnel record. To be qualified for the work, the person must have the qualification on their employee record, the Scheduled date for the work order activity must fall between the Start date and Expiration date for the qualification, and Temporarily disqualified must be unselected for the qualification.

If no Scheduled date is entered for the work order activity, then Datastream 7i uses the system date to determine whether an employee is qualified. Additionally, if you have already selected a Person responsible for the work order activity, and then you enter a Scheduled date, then Datastream 7i will revalidate whether the employee selected for Person responsible is qualified to perform the work order activity based on the date entered.

Unlike the Work orders form (WMJOBS) or the Work order activities form (WDACTJ), you cannot associate a qualification directly with a work order activity or view work order activity qualifications on the Quick orders form (WMVITE); however, Datastream 7i initiates qualification enforcement if the WOQUAL installation parameter is set to ON.

Follow these steps to create quick work orders.

  1. Open the Quick work orders form (WMVITE).

Create, update, and complete work orders in the top section of the form.

  1. Work order—Enter a description of the work order in the adjacent field, and then click in the far right field to select the organization to which the work order belongs if you use multi-organization security. Datastream 7i assigns a work order number after you save the record.

  2. WO type—Click to select the type of work order needed, e.g., breakdown, repairable spare, etc.

  3. Warranty and Safety—Select if the equipment on which the work order is being performed is under manufacturer warranty or requires special safety precautions. Warranties and safety precautions of parent equipment roll down to child equipment.

  4. Dependent—Select to keep the parent work order open until all dependent child work orders are completed.

   If you select Dependent, you must enter a Parent work order.

  1. Status—Click to select the status of the work order.

  2. Entered by—Click to select the user entering the work order as necessary. Datastream 7i automatically populates Entered by with the logged in user.

  3. Equipment—Click to select the equipment on which to perform the work.

  4. Cost code—Click to select the cost code for the work order.

  5. Location—Click to select the location performing the work.

  6. Class—Click to select the class of the work order. The classes shown belong to the EVNT entity.

  7. Department—Click to select the department.

  8. Target date—Enter the target start date for the work order, and then enter the duration of the work order, in days, in the adjacent field.

  9. Originator—Click to select the employee creating the work order.

  10. Problem code—Click to select the code identifying the type of problem.

  11. Project—Click to select the project and project budget to attach to the work order.

   You cannot select a frozen Project.

  1. Failure code—Click to select the type of failure causing the problem.

  2. Downtime cost—Enter the total cost of equipment downtime.

  3. Parent—Click to select the parent work order, if applicable. If you select a parent work order, Datastream 7i rolls up all costs to the parent.

  4. Cause code—Click to select the reason the problem occurred.

  5. Downtime hours—Enter the total hours of equipment downtime.

  6. PM—Click to select a preventive maintenance schedule.

  7. Action—Click to select the action needed to fix the problem.

  8. Last value—Enter the usage of the equipment at the time of the work order.

  9. Assigned to—Click to select the person responsible for the work.

  If you are using qualification enforcement and you want to modify the Person responsible for the work order activity, Datastream 7i enables you to only select employees who are qualified to perform the work based on the list of qualifications required for the selected work order activity and the Scheduled date of the work order activity.

  1. Priority—Click to select the priority of the work order.

  2. Shift—Click to select the shift during which the work was requested.

Create and update activities in the second section of the form.

  1. Activity—Enter the code identifying the activity to attach to the work order.

  2. Trade—Click to select the trade required for the activity.

  3. Task list—Click to select the task list to attach to the activity.

  4. Mat list—Click to select the material list to attach to the activity.

  5. Start date—Enter the start date for the activity.

  6. Estimated—Enter the estimated number of hours required to complete the activity.

  7. Duration—Enter the number of days needed to complete the activity.

  8. Plp required—Enter the number of people required to complete the activity.

  9. Order—Select if you must procure services for the activity from an outside supplier.

Issue or return stock material in the third section of the form. You cannot issue or return parts that are tracked by asset.

  1. Activity—Enter the code identifying the activity against which to issue/return parts.

  2. Store—Click to select the store holding the part.

  3. Part—Enter the part number to issue/return. To retrieve parts from a material list, click Material list. Datastream 7i displays a list of nonissued parts. Then enter, in From store, the code identifying the store holding the parts.

  4. Quantity—Enter the number of parts to issue/return. If you query for an issue or return, Datastream 7i displays the total number of parts returned/issued.

  5. Date—Enter the date of the issue/return.

Schedule activities for the work order in the fourth section of the form. Datastream 7i displays the activities scheduled on the Daily scheduling form (WDDSCH).

  1. Select one or more activities to book for the work order.

  2. Book—Select to book schedules for all selected activities, and then click Book Hours. Datastream 7i copies the activities to the book hours grid below.

   Once Datastream 7i books hours for the activity, Datastream 7i disables Book Hours. To schedule more activities, requery for the activity to book.

   When booking hours, Datastream 7i first checks to see if an Hourly rate is defined for the employee. If so, the hours are booked at that rate. However, if you have not assigned the work to a Person responsible on the Daily scheduling form (WDDSCH) or if you have not defined trade rates for the employee selected as the Person responsible, Datastream 7i assigns the Hourly rate defined for the trade as the pay rate for the work.

Book hours for workers for the event/activity in the fifth section of the form.

  1. Activity—Enter the code identifying the activity against which to book hours.

  2. Employee—Click to select the employee for which to book hours.

  3. OcTp—Click to select the type of hours to be booked.

  4. Cor—Select to mark the booking as a correction.

  5. Date—Enter the date to book the hours.

  6. Choose one of the following options:

  1. Rate—Enter the hourly rate of the employee.

Record tool usage in the sixth section of the form.

  1. Activity—Enter the code identifying the activity for which to record tool usage.

  2. Tools—Click to select the tool for which to record usage. Datastream 7i displays the Dept of the tool. To charge tool costs to a different department, update the Dept to a different facility.

  3. Date—Enter the date on which the tool was used.

  4. Quantity—Enter the number of tools used.

  5. Hours required—Enter the number of hours the tool was in use.

  6. Enter comments on work to be completed in the top section. Under Comments, enter comments on work already completed in the lower section of the form.

  7. Choose File | Save from the menu bar. Datastream 7i saves the information to the database.
