Reassign workflow processes in the event that the approver is absent from work, e.g., sick or on vacation. To reassign workflow processes to another user, set up rules within Oracle Workflow.
Follow these steps to reassign workflow processes.
Log in to Oracle Workflow. Workflow displays the Workflow home page.
Click Notification Rules. Workflow displays the Notification Rules screen.
User ID—Enter the name of the user for which to reassign workflow processes.
Click Find. Workflow displays the Notification Rules screen for the user, listing all existing rules.
Click Create Rule. Workflow displays the Create New Rule page.
Item Type—Select the type of notification to which to apply the rule. Select All to apply the rule to all notifications.
|
If you select only one specific type, e.g., Datastream 7i purchase orders, Workflow displays a second page listing all the notifications within that type. Select a specific notification or select All. |
Click Next. Workflow displays the final Create New Rule screen.
This page varies in format depending on the type of notification selected. For example, if you selected to apply the rule to all notifications, Workflow does not allow you to set up automatic responses.
Start Date and End Date—Enter the beginning and ending dates for the rule. If Start Date is left blank, the rule is effective immediately. If End Date is left blank, the rule is effective indefinitely.
Comments to include in notification—Enter any comments to automatically attach when the rule is applied.
Choose one of the following options:
Forward the notification to another user—Select Reassign to, and then click to select the user. Then select whether to Delegate authority for responding to Notification, indicating that you retain ownership of the notification but you grant the user authority to respond to the notification on your behalf, OR, Transfer ownership of Notifications, indicating that you transfer complete ownership of the notification to the user.
Respond to the message with a set of predefined response values—Select Respond, and then click to select the response.
Leave the notification in your inbox with no action—Select Deliver Notifications to me, regardless of general rules. This function works if you want to define a rule with specific exceptions. For example, you select to forward all purchase order approval notifications to another user, but you still want to receive notification for all purchase orders created by a certain user.
Click OK. Workflow creates the rule and displays the Notification Rules screen listing your notification rules.
