Create warranty claims to process and file claims for costs covered by supplier or manufacturer warranties. Before creating warranty claims, define warranty documents and coverage, and associate warranties with equipment.

Datastream 7i enables you to create warranty claims for equipment, work orders, or work order activities. If a warranty is associated with a work order header, Datastream 7i considers the warranty applicable to all warrantable activities on a work order. However, you can also create claims for each warrantable activity as necessary. If you create an activity-level claim, Datastream 7i copies only the costs related to the warrantable activity to the claim. Likewise, if you create a claim for a work order, Datastream 7i only copies the costs for the warrantable activities on the work order to the claim.

If you associated VMRS codes with warranty documents, Datastream 7i automatically verifies whether active warranties exist for VMRS codes referenced on work orders and work order activities. The association of VMRS codes with warranty documents enables you to create warranty claims for equipment associated with the VMRS codes at both the work order and the work order activity level.

Creating a warranty claim at the work order level covers all warrantable activities on the work order. However, you can also select to create individual claims for each warrantable activity on a work order as necessary, or you can choose to create claims only for selected warrantable activities on a work order.

Datastream 7i also enables you to create a claim against a warranty that is expired, because the work/equipment under warranty may have taken place while the warranty was still valid.

Datastream 7i automatically selects Unfinished as the Status of a new claim. Create claims with Unfinished or equivalent user status. You can only enter information for most of the fields on the claim while the status is Unfinished. After creating and entering all of the information for the claim, you can then update the claim status to indicate its progress throughout the claim process.

While the status of the claim is Unfinished, Datastream 7i updates cost information accrued for the work order associated with the claim based on the percentages specified for the warranty on the Documents form (BMDOCU) and displays the values in the Claim Details section of the Record view page of the Warranty claims form (OMCLAI). Datastream 7i displays the work order costs for booked internal labor, stock issues, booked hired labor, direct purchase materials, purchased services, and tools.

After compiling the information for your claim, update the status to Approved, and then submit the claim to the supplier/manufacturer honoring the claim for their response. Typically, upon receipt of the claim, the supplier/manufacturer reviews the claim, sends a response, and issues payment for the costs covered. Upon receiving a response from the payer, enter the actual amount of the claim settlement for each cost category, and then complete the claim.
